Send a Notice
Tell everyone in your organization, or a client organization, about a planned change or a reminder: it appears in their notifications and can be emailed to them.
What the page is for
Send a Notice is a page in the Lavawall® console. Use it to tell everyone in your organization, or in a client organization you manage, about something they should know: planned maintenance, a new procedure, a reminder about a policy, or a change to how you support them.
A notice is information, not an alert. It appears in each person’s notification bell and on the Notifications page, it is included in the email of people whose Notification Setup covers notices, and you can choose to email it to everyone straight away.
What you see
- New notice: the organization, an option to include its client organizations, the title, the message, an optional link and the option to email it now, with a preview of how it will look and how many active members the organization has.
- Good to know: how recipients see the notice and the sending limits.
- Sent notices: every notice you can see, with when it was sent, the organization, the notice, who it was from, who sent it, the number of members and how many emails went out. Every column can be sorted, and the box above the table filters it.
How to send a notice
How to send a notice to your organization
- Open Send a Notice in the You section of the menu, or type “Send a notice” in the search bar.
- Your organization is already chosen. To send it to a client organization instead, choose it in Organization.
- Tick Also send it to its client organizations if everyone below that organization should get it too.
- Write a Title (up to 100 characters) and the Message (up to 2,000 characters). Line breaks are kept.
- Optionally add a Link to a console page, such as tickets.php, or to a page on lavawall.com or threeshield.ca.
- Click Send notice and confirm.
How to email a notice to everyone now
- Tick Email it now to everyone in the organization before you send.
- Every active member with a confirmed email address receives it at once, in their own language setting.
- Leave it unticked for routine information: people who receive notices by email still get it with their usual notifications.
How to see what was sent
- Scroll to Sent notices.
- Type in the filter box to find a notice, or click a column heading to sort.
What recipients see
- The notice appears in their notification bell and on the Notifications page, under Notice from your organization’s name. Notices from Lavawall show Notice from Lavawall.
- They see your organization’s name, not your own name or email address.
- Anyone in the organization can mark it as read, the same as any other notification.
- To receive notices by email, people choose Notice from Lavawall and Notice from your organization’s administrators in Notification Setup, or leave Receive all notification types on. Notices arrive with Low notifications.
Tips
- Keep the title short and specific, such as “Planned maintenance on Saturday”, and put the details in the message.
- Notices are plain text. Anything that looks like formatting or code is shown exactly as typed.
- To prevent mistakes and abuse, you can send 10 notices an hour, an organization can receive 10 notices a day, and up to 3 of them can be emailed to everyone at once.
- Every notice is recorded in the Activity Log.
Troubleshooting
- “Only administrators can send notices”.
- Ask a Super Admin or Admin of your organization to send it.
- “Sending notices is not set up yet”.
- Your Lavawall server is being updated. Try again later, or contact us.
- “The link must be a console page…”.
- Links can only point to a console page or to lavawall.com or threeshield.ca. Put other addresses in the message as text.
- A client organization is missing from the list.
- Only active client organizations you manage are listed. An organization several levels below yours appears only when the organizations in between allow their managing organization to act on them.
- Someone did not get the email.
- Locked accounts and addresses that were never confirmed are not emailed. Without Email it now, only people whose Notification Setup includes notices are emailed.
